What is a Guest User?

A Guest User is a free, limited user-account type for users at orgs with a Quartzy PunchOut. A Guest has the ability to punch out to the Quartzy Shop and place orders in their own private, individual guest environment. 

A Guest does not need a licensed/paid seat, but will not have access to the rest of the Quartzy platform (Requests, Inventory, shared Labs, etc), and they will not have access to data of Licensed Users. 

Guest User vs Licensed User 

Licensed User:  A Licensed User can access the full Quartzy platform, including Requests, Shop, and Inventory, within shared environments called Quartzy Labs. Only Licensed Users can join Quartzy Labs. All users in an individual Quartzy Lab can see each other's requests, orders, and inventory data.  

Licensed Users can be Admins or Members of a Quartzy Lab. Generally, Members add item requests to the Lab, and Admins place orders for those requests.

Guest User: Guests have access to the Quartzy Shop via PunchOut from their procurement system. Guests will not have access to requests, orders, or inventory data of Licensed (or other Guest) users. Guests will only be able to access and manage their own orders in their own private, individual Quartzy environment; no one else will have access to the orders or data in this environment. Guests cannot place orders for Licensed Users, nor other Guests. Guests can only place orders via PunchOut, and cannot checkout via other methods. 

How does a Guest User become a Licensed User? 

If you are a Guest User and need access to an existing Quartzy Lab, use the "Sign up and register" option in the modal in the upper right corner. 

Once you have registered your account, have an Admin of the lab(s) you should have access to invite you: Add members to a Quartzy Lab.

If you should be able to place orders, have them invite you as an Admin. Once they invite you, you'll be added automatically to their lab.

 

How to purchase from Quartzy using PunchOut as a Guest 

1. Initiate a Quartzy PunchOut session.

• Log in to your e-procurement system, and navigate to the approved vendors page. Click on the Quartzy tile.

2. Proceed as a Guest.

• You will land in the Quartzy Shop in a Guest PunchOut environment. To proceed as a Guest, simply click the X in the You're not signed in to Quartzy modal. 

3. Build your Quartzy cart.

• To shop and add items to your Lab's cart, check out the following guide: How to add items to your cart from the Quartzy Shop
• Once the items you’d like to order are in your cart, select the shopping cart icon, and review the item and order details in the cart.

4. Send your cart to your e-procurement system.

• Review the items and order summary in your lab's shopping cart, and click the Submit Purchase Request button to sync your Quartzy cart to your e-procurement system. 

5. Complete your purchase in your e-procurement system.

• You can now submit this newly created Cart from Quartzy for approval in your e-procurement system. See below for information on Purchase Orders and Invoices. 

Purchase Orders

Once the cart is approved, if your organization has a Purchase Order cXML integration, your e-procurement system will automatically generate a Purchase Order and sync it to Quartzy for fulfillment. 

 

Tracking Orders

You can track the status and keep record of all the orders you've placed in Quartzy as a Guest. 

To do so, click on the Quartzy tile from your procurement system, and once in Quartzy, click the Orders tab.
