Import Freezer Inventory to Quartzy interactive freezer boxes via Excel

You can place the items that are contained in your freezer boxes onto Quartzy and into interactive freezer box maps using Excel.

Important: You will not be able to upload your items to freezer boxes unless you create all locations and sublocations in advance. 

1. On the top left side of the toolbar, click on the Org Name or the Lab Name and then click the gear icon to select the lab where you want to make changes.

2. Choose the Inventory Locations tab. 

3. To create a top-level location (e.g., a specific room or a large freezer), click Add New Location at the top right.

4. To add a nested sublocation, click the plus (+) icon on the row of the parent location.

5. Type the name and click Save. You can continue nesting sublocations (e.g., Freezer 1 > Shelf 1 > Rack 1) up to 7 levels deep.

Creating Freezer Boxes

You can designate the final level of any location chain as a Freezer Box to track specific cell coordinates (e.g., A1, B2).

1. Click the plus (+) icon on a location.

2. Set the Freezer Box toggle to Active.

3. Enter the number of Rows and Columns and click Save.

Note: Once a location is designated as a Freezer Box, you cannot nest further sublocations underneath it.

4. Upload your freezer box inventory using the Import via Excel feature.

In the Locations column, make sure the location and sublocation names exactly match those created from the Inventory Locations page, using the > symbol between each location and sublocation.

Add Location Details, which represent the position of the item within the freezer box. Quartzy uses a Letter-Number nomenclature for box position, such that position "A1" is the first spot in the box, where the Letter is the Row and the Number is the Column.

5. In the Inventory module of your lab, click Import Inventory. Check the box for "Yes, I used Quartzy's Excel template," then click Upload File.

When you do everything correctly, your items will be imported to the Quartzy Inventory for your selected Lab. Go to the Inventory Locations section to make changes to any of the locations that you added.
