Quartzy’s location management allows you to create a highly organized, multi-level hierarchy for your lab supplies. You can nest locations several levels deep to mirror your physical lab space exactly.
If your lab transitioned from the prior interface, read this guide to organize your locations: Location Migration Guide: Upgrading to Multi-Level Sublocations
Note: For instructions on managing locations using the prior interface, read this guide.

Access Location Settings
1. On the top left side of the toolbar, click on the Org Name or the Lab Name and then click the gear icon to select the lab where you want to make changes.
2. Choose the Inventory Locations tab.
3. You will see your lab's location tree. You can Expand All to see every level or click the arrow icon next to specific locations to reveal their nested sublocations.
Add New Locations and Sublocations
1. To create a top-level location (e.g., a specific room or a large freezer), click Add New Location at the top right.
2. To add a nested sublocation, click the plus (+) icon on the row of the parent location.
3. Type the name and click Save. You can continue nesting sublocations (e.g., Freezer 1 > Shelf 1 > Rack 1) up to 7 levels deep.
Creating Freezer Boxes
You can designate the final level of any location chain as a Freezer Box to track specific cell coordinates (e.g., A1, B2).
1. Click the plus (+) icon on a location.
2. Set the Freezer Box toggle to Active.
3. Enter the number of Rows and Columns and click Save.
Note: Once a location is designated as a Freezer Box, you cannot nest further sublocations underneath it.
Edit, Rename, or Move Locations
Rename: Place your cursor in any location or sublocation name. Type the new name and click Save.
Move: To move a sublocation (and everything nested inside it) to a different parent location, click the dot icon and drag the location/location chain where you'd like to place it. When finished, click Save.
Delete: Click the trash can icon. Confirming this will remove the location; any items previously stored there will remain in your inventory but will no longer have a designated location.
Pro-Tips for Faster Setup
We've added several shortcuts to help you build out your inventory locations quickly:
- Auto-Incrementing: When you click the plus (+) icon to add multiple locations at the same level, Quartzy will detect numbers. For example, if you just added "Rack 1," the next "Add" click will automatically suggest "Rack 2."
- Duplicate Button: Click the duplicate icon (two overlapping squares) to copy a location and its entire nested structure. This is perfect for setting up identical freezers or racks quickly.
-
The "Shift + Enter" Chain: When creating a new location, you can type the entire path using ">" as a separator (e.g., "Freezer 1 > Shelf 1 > Rack A") and press Shift + Enter. Quartzy will automatically build the nested hierarchy for you.
