Note: Quartzy's NetSuite integration is included in Enterprise and Non-Profit subscription plans, or as an add-on to the Professional plan.
Quartzy's integration with NetSuite helps lab managers and accountants save time by eliminating tedious, manual data entry. Now, data flows automatically into your NetSuite account, and you can review everything in one place. Item Receipts ensure that you know exactly which items have been received so that you can more easily reconcile invoices.
Setup
Before you can sync Item Receipts to NetSuite, you'll need the following:
1. If you haven't already, turn on the PO integration between Quartzy and Netsuite.
2. Make sure that the Role assigned to the Access Token that you provide to Quartzy for your Netsuite PO integration includes the "Transactions > Item Receipt" permission. The relevant Netsuite menu is: Setup > Users/Roles > Manage Roles.
3. If "Item Receipt" is not an available permission in your Netsuite account, you may need to enable "Advanced Receiving". The relevant Netsuite menu is: Setup > Company > Enable Features > Transactions > Shipping & Receiving.
4. Make sure that the following setting is selected in your Netsuite account: "Default Items to Zero Received/Fulfilled". The relevant Netsuite menu is: Setup > Accounting > Accounting Preferences > Order Management > Fulfillment.
Create Item Receipts
After you have a synced PO, click Mark Received on an item in the Ordered tab of the Requests module, then complete the receiving process in Quartzy. When you're done, Quartzy will automatically create an Item Receipt on the relevant PO in NetSuite.
You can also Mark Received on Quartzy Mobile!
You'll be able to see this update in two places in Netsuite:
- First, at the bottom of the PO in the "Items" section, each Item will reflect the total quantity received so far.
- Second, under "Related Records," you'll see a list of all Item Receipts on that PO. Click an Item Receipt to see which items and quantities were received.
Supported Use Cases
Aside from receiving a Request, Item Receipts are also supported in the following cases:
- Receive multiple Requests using "Group Actions"
- Receive multiple Requests across multiple POs (creates one Item Receipt for each PO)
- Receive a partial quantity of a Request
Item Receipts are not supported in the following cases:
- Revert Requests from Received status to Ordered status, then Receive again
- Receive Requests that are not on a PO, or on a not-synced PO
