What you can search in each Quartzy module

The search bar at the top of Quartzy searches every part of the app at once. Type what you're looking for and press Enter. Quartzy shows how many results it found in Shop, Requests, POs, Orders, Invoices, and Inventory. Click any of them to see the matching results.

Each area searches different information. For example, you can find a request by the name of the person who requested it, but you can't find an invoice that way. This article lists what you can search in each area.

Search tips

Shop search is flexible. It handles typos, partial words, and searches where only some of your words match. Searching your lab's own records works differently:

  • In Requests, POs, Orders, Invoices, and Inventory, type complete numbers. Searching 1234 won't find catalog number AB1234, but searching AB1234 will. POs is the exception: it also finds partial numbers.
  • In those areas, every word you type has to match. Words can match different details, though. In Requests, ethanol smith finds ethanol requested by someone named Smith. If you get no results, try fewer words.
  • Dates aren't searchable. To narrow results by date, use the date filters or sort by date instead.
  • Use filters for status, vendor, lab, and date. Search finds records by what's in them. Filters narrow the list you get back.
  • When you search from anywhere except Requests, Requests shows all statuses. That way you also see requests that are already ordered, received, or completed, not just pending ones.

Shop

Shop searches everything in a product listing, including:

  • Product name and description
  • Catalog number (with or without dashes and dots)
  • CAS number and chemical name
  • Manufacturer and brand
  • Category
  • Unit size

Shop search handles small typos and partial words. If only a few products match every word you typed, Shop also shows products that match most of them. Products your lab has requested before show up higher in the results.

Requests

You can search by:

  • Item name, catalog number, vendor, and manufacturer
  • Unit size
  • Requester name
  • Budget code
  • PO number
  • Quartzy order number
  • Invoice number, confirmation number, requisition number, and tracking number
  • Notes and details on the request
  • Product URL
  • CAS number, if the request is linked to an item in your inventory

You can't search by: price or total, dates, lab name, approver, comments, or custom fields. Use the filters on the Requests page to narrow by status, type, budget code, vendor, or requester.

In Requests, names, vendors, and budget codes also match the start of a word and handle small typos. Order numbers and PO numbers have to match exactly.

POs

You can search by:

  • PO number
  • Catalog number of any item on the PO
  • Confirmation number of any item on the PO

POs finds partial matches. Searching 123 finds PO PO-41234.

You can't search by: vendor, item name, total, the person who created the PO, invoice number, or dates. Use the Vendor filter and the status tabs to narrow the list.

Orders

You can search by:

  • Quartzy order number (for example, QY25030715370021). You can also paste the QUARTZY* charge description from your card statement.
  • Item name, catalog number, and vendor
  • Confirmation number and requisition number
  • Invoice number for invoices from Quartzy
  • PO number, for orders placed outside Quartzy
  • The name of the person who placed the order
  • Status, such as backordered, received, or unpaid
  • Dollar amounts: order total, subtotal, tax, shipping, item price, line total, or invoice total

To find an order by amount, type the exact amount, such as 1,250.00 or 1250. 1250 finds $1,250.00 but not $1,249.99. Don't combine an amount with words in the same search.

You can't search by: tracking number, order date, or lab name.

Invoices

You can search by:

  • Invoice number
  • PO number
  • Vendor name (search Quartzy to see all invoices from Quartzy)
  • Budget code
  • Order confirmation number
  • Invoice total

Invoice numbers, PO numbers, confirmation numbers, and budget codes must be typed in full. INV-1234 finds the invoice, but INV-12 doesn't. To search by total, type the exact amount with cents and no commas, such as 1250.00.

You can't search by: item name, catalog number, requester, lab, or dates. Use the filters on the Invoices page to narrow by invoice date, due date, total range, status, vendor, budget code, or lab.

Inventory

You can search by:

  • Item name, catalog number, and vendor
  • CAS number
  • Type
  • Location, including parent locations (searching a freezer name also finds items on its shelves)
  • Lot number
  • Serial number or barcode
  • Owner. Searching a person's name also finds items they added.
  • Price, quantity, and unit size
  • Custom fields
  • Technical details, URL, and attachment file names

You can't search by: expiration date, date added, or last updated date. Sort by those columns instead. Date custom fields are searchable by their date, such as 2026-09-22.

In Inventory, item names and vendors also match the start of a word and handle small typos. Lot numbers, serial numbers, and CAS numbers have to match exactly.
