Quartzy-NetSuite integration: How to add a Catalog # field to NetSuite

If you'd like for catalog numbers from Quartzy to sync to your NetSuite POs, you'll need to have a custom catalog # field in NetSuite. Adding custom fields can be done by an Admin of your NetSuite instance; they'll just need to create a custom field, and then apply it to the Purchase Order form. 

Read below for a step-by-step guide!  

Step 1: Create a Custom Field

  • Navigate to Custom Fields:
    • Go to Customization > Lists, Records, & Fields > Transaction Line Fields > New
  • Configure Field Properties:
    • Label: Catalog #  
    • Type: Free-Form Text 
    • Check the Store Value box 
  • Apply the Field to Purchase Orders:
    • Under the Applies To tab, check the Purchase Item box.  
  • Set Display Preferences:
    • Under the Display tab, configure the Display Type: Normal 
  • Save the Custom Field:
    • Once you've completed all the configurations, click Save.

Step 2: Add the Custom Field to the Purchase Order Form

  • Click Apply to Forms & find your PO Form in the list 
  • Add the Custom Field:
    • Locate your Catalog # field in the available fields list and drag it to the desired placement
    • Select the Show box next to your Catalog # field 
  • Save the Customized Form:
    • Once you've made your adjustments, click Save.

Step 3: Test your new Catalog # Field 

  • Create a New Purchase Order:
    • Go to Transactions > Purchases/Vendors > Enter Purchase Orders > New.
  • Verify the Custom Field:
    • Check that the Catalog # field appears as expected on the Purchase Order form.
    • Fill in the field to ensure that it functions correctly 

How to find the NetSuite ID for your Catalog # Field

  • You will need to provide the NetSuite ID for your Catalog # Field to your Quartzy Implementation contact in order for it to be added to your PO Page in Quartzy. 
  • Go to Customization > Lists, Records, & Fields > Transaction Line Fields
  • Find your custom field in the list and note the corresponding value in the ID column.
    • Note: If the ID column is not visible, click on the "Customize View" option at the top of the list, add the ID field to the view, and save.
