Quartzy Concierge - Overview

Note: Quartzy Concierge is currently only available to organizations with a Standard or Enterprise Plan. If your organization is currently on the Free plan and are interested in this program, let us know at support@quartzy.com.

What vendors are supported by Concierge?
  • Vendor Comparison: We currently support Fisher Scientific and VWR, and we're working as quickly as possible to add more.
  • Order Placement: We support all vendors where you have an account.
  • Order & Shipment Tracking: We support all vendors that send emails for order confirmations, backorder updates, and/or shipping updates.
How do I get help or send feedback?
  • The best way to get help is still support@quartzy.com - your ticket will be forwarded to the Quartzy Concierge team, if needed.
  • If you have product feedback, feel free to email your Quartzy Concierge contact directly.
  • However, please note that Quartzy does not currently provide service on orders placed with Concierge. If you have an issue with your order (e.g. cancel, return, wrong item), you should contact the vendor directly.
Is Concierge included with my Quartzy subscription?
  • No, Quartzy Concierge is an add-on to your Quartzy subscription.
  • The cost of Concierge is based on how many seats you have and how many requests you have with outside vendors.

What is Qbot?

  • Qbot is Quartzy's friendly bot that helps you operate your lab.
  • In Quartzy Concierge, Qbot collects and displays prices from other vendors, places your orders, and updates your requests any time an order or shipment status changes.
  • You might see Qbot leave comments on requests in your lab.
How do I pay for my orders?
  • You'll need to have credit terms with any vendor where you want orders placed.
  • Qbot will place all of your orders via PO.
  • Vendors will still send invoices directly to you for payment.
When will my orders be placed?
  • Qbot will place your orders once daily, at a specified hour of your choosing.
Can I cancel an order that’s been placed via Concierge?
  • As long as the request is still in the New or Approved tab of the Requests module in Quartzy, you can just cancel the request and we will not order that item.
  • If the request is in the Ordered tab, your item(s) has already been ordered, and you should contact the vendor to cancel the order.
What if I change my password on a vendor site?
  • That will prevent Qbot from checking prices or placing orders, but not to worry - just send us the updated password and we’ll update it in our system.
  • In the future, we’ll have an area in the Quartzy app where you can manage your vendor logins. 
Can I run a price check on any order request?
  • When you first join Concierge, your existing order requests won’t have any prices to compare. However, as soon as you start adding new requests, Qbot will grab the prices and you’ll be able to compare those items! 
Can anyone in my lab use Concierge?
  • Vendor Comparison: any user can run a price check, but only a Lab Admin and the user that created the request can change the vendor.
  • Order Placement: only Lab Admins can decide which requests should be ordered with Qbot.
  • Order & Shipment Tracking: any user can check the order & shipment status of a request that's been updated by Qbot. 
How fresh is the data in vendor comparison?
  • The data for a given product is updated any time a request for that product is created.
