Academic, government, and other non-profit organizations are eligible for the Academic Package subscription and will be required to transition by July 1, 2023. To learn more about why we're making this change, please read our recent blog article.
How much does it cost?
For labs that joined Quartzy before July 1, 2023, the annual Academic Package subscription will cost $99 per user per year. Labs that join after will pay $149 per user per year. We aren’t planning any subsequent price increases right now, but current labs have the option to select multiyear contracts to lock in their $99 pricing as long as they like. As a special promotion for the first year to help our customers transition, we are also offering Quartzy Shop Credits equal to your first year's subscription fees. This essentially makes your subscription cost-neutral for the first year.

How many seats should I select for my lab?
We suggest only paying for members who are regularly logging in and using Quartzy. You can review and determine which lab members should be included with your lab’s subscription and only pay for the appropriate number of seats. Most labs find that setting up with one seat per person creates the best request tracking and reporting experience. Seats can easily be reassigned to new lab members as needed. For example, a lab with a laboratory manager, two research assistants, and two student rotation spots would pay 5 x $99 per year ($495/year).
When does this go into effect?
Subscriptions are required for all Quartzy users starting July 1, 2023. Quartzy may have additional incentives if you are able to commit to this change sooner. Additionally, even if you subscribe sooner, all subscriptions signed during this period will run until June 30, 2024. If you are interested in those incentives or if your budget requires additional time, please reach out to our team with your specific details, and we will work with you in order to transition your lab smoothly.
How do I subscribe?
You can subscribe at any time from now until June 30, 2023 and your subscription will last until June 30, 2024. If you're ready to sign up now, please write into support@quartzy.com and we will send you the order form. We accept payment in the form of credit card or PO. If you'd like to process the payment on your own through the website, we will have self-service option available starting mid-February for credit card purchases. More information will be out shortly about this process.
What happens to my lab’s orders and data if we decide not to subscribe?
We understand that this is a change, and we’d like to work with you in order to ensure your continued use of Quartzy. However, if you decide not to subscribe, on July 1, 2023 your lab’s account will go into read-only mode. Any open orders will still be fulfilled as normal and will still be covered by the Quartzy Guarantee. You will also be able to view and export data from your account while in read-only mode.
I still want to buy from the Quartzy Shop but not pay for the software. Can I do that?
Access to the Quartzy Shop is limited to customers with a paid subscription. Customers with a subscription can continue to take advantage of our competitive prices, fast shipping, and added convenience of orders updating automatically on Quartzy. We would be happy to discuss any options we can provide to continue working with you and enable you to continue ordering from Quartzy - please contact us at support@quartzy.com.
Now that you’re charging non-profit customers in addition to industry customers, how will the software change?
Since charging industry customers, we’ve been able to build out many things, including new integrations, punchout capabilities, and the mobile app. With this change, we can continue to invest in the product. We have a lot of ideas (many that have come directly from you!) and are in the midst of product planning and speccing for the upcoming years. We will regularly keep you informed of our product roadmap as we put plans in place. We’re excited for what’s to come!
What happens to the data belonging to lab members if they’re removed from the lab?
Order requests and inventory items will always remain in a lab, even if the members who requested or owned those items either leave the lab or are removed. Before removing members, if you’d like to transfer ownership of inventory items to a specific lab member, you can do so by bulk editing the owner of inventory items as shown here. Order requests will keep the original requester name so it remains searchable and filterable.
I belong to multiple labs. Do I have to pay for an account in each lab?
Our subscriptions are per user, so as long as the labs are grouped together, you can belong to multiple labs once you have a license. If you’d like to consolidate lab groups or you have a complex set-up, feel free to reach out to our team at support@quartzy.com in order to correctly set up your billing.
Are you doing site-wide licenses? i.e. Are you approaching the department or institution to pay these subscription fees?
Yes! We are actively working with institutions to prepare site-wide licenses for entire organizations which would then provide the lab the ability to use Quartzy without additional cost to them. If you are able to provide us with the best person to contact to open up those discussions at your organization, please contact support@quartzy.com.
